Case study

Bringing structure and security to a growing business

How we helped a multi-site business take back control of its IT, from scattered data and reactive fixes to a secure, well-managed setup. Anonymised at the client's request.

Client Case Study

This is a real piece of work, with names and identifying details removed. It shows how we approach a business whose IT needs had grown faster than the structure behind it.

The situation

The client is a larger, multi-site business with office staff, operational staff and a separate finance function. Their IT had grown naturally as the company expanded, but without one central structure or a long-term plan.

They were running a mix of systems: Microsoft 365, Google Workspace, local PCs, shared folders and individual user accounts. Some important data sat on individual machines, and some systems were managed by individual staff rather than by the business itself.

The challenge

Before we got involved, the setup carried several common risks:

  • Business data spread across multiple platforms and devices
  • Some files held only on individual computers
  • User access and system ownership not fully centralised
  • No clear leaver process for staff accounts and data
  • Backups and data retention overdue a review
  • Support that was reactive rather than planned and documented

Together these meant important files could be missed, access could stay with the wrong people, and the business could become too dependent on individual users or machines.

Our approach

What Total Tech Support did

We started with a full IT review to understand how the business actually worked and where the real risks were. From there we built a practical plan to bring data under proper control and reduce reliance on any one device or account.

The aim was simple: a setup the business owns and understands, rather than one that depends on individual staff.

Reviewed everythingUser accounts and access, Microsoft 365, SharePoint and OneDrive, Google Workspace, local files, backups and account security.
Centralised controlBrought business data and system ownership under the business itself, not individual staff members.
Improved accessTidied user access and set a clear process for staff joining and leaving the business.
Planned aheadSet out backups, retention and a roadmap for future changes, documented rather than ad hoc.

The outcome

The client now has a much clearer view of their IT and a structured way to manage users, devices and data. The main improvements:

  • Better control over business data
  • Far less risk of important files living only on local machines
  • Clear ownership of Microsoft 365, Google Workspace and shared data
  • Stronger user access control
  • A proper handle on backup and retention
  • A more professional, documented support process
  • A clear roadmap for future IT work

In short, they moved from a reactive, slightly fragmented setup to one that is controlled, secure and built around the business.

Why this matters

For growing businesses, IT often builds up bit by bit. That works early on, but in time it creates risk around data, security, access and continuity.

We help businesses take back control by reviewing what is already in place, finding the risks and putting a practical plan in place that improves reliability, security and day-to-day working. The result is better visibility, better protection and a stronger foundation for growth.
